SmartOffice AI ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your information when you use our intelligent administrative assistant service.

2. Information We Collect

2.1 Account Information

  • Name and email address (for account creation)
  • Password (securely hashed and encrypted)
  • Subscription and payment information (processed by Stripe)

2.2 Google Account Data

When you connect your Google account, we access:

  • Gmail: Read-only access to your inbox to provide email organization and AI-powered features
  • Google Calendar: Read-only access to view your calendar events

Important: We only access data you explicitly authorize. Your Google credentials are securely stored using OAuth 2.0 tokens and are encrypted.

3. How We Use Your Information

Google User Data (Gmail & Calendar) Limited Use:

Information received from Google APIs is used ONLY to provide and improve the following user-facing features of SmartOffice AI:

  • Email Analysis: AI-powered priority categorization (Urgent/Important/Normal) and smart reply suggestions displayed directly to you
  • Calendar Integration: Display your upcoming events and meeting information within the app
  • Report Generation: Create PDF and Word reports containing your email and calendar summaries for your personal use

Important: Your Gmail and Calendar data is NOT used for any other purpose, including:

  • ❌ Training AI models or machine learning
  • ❌ Advertising or marketing purposes
  • ❌ Analytics or aggregated data analysis
  • ❌ Sharing with third parties (except as required for the features above)

SmartOffice AI's use and transfer of information received from Google APIs adheres to Google API Services User Data Policy, including the Limited Use requirements.

4. Data Storage & Security

  • All data is stored securely using industry-standard encryption
  • OAuth tokens are encrypted and stored per user for complete data isolation
  • We do not share your Gmail or Calendar data with third parties
  • Payment information is processed securely through Stripe (we never store credit card details)

5. Third-Party Services

We use the following third-party services to provide app functionality:

  • OpenAI: Email content is temporarily sent to OpenAI's API solely to generate priority categories and reply suggestions shown to you. OpenAI does not store or use your email content for model training (per OpenAI's API data policy).
  • Stripe: For secure payment processing. We never store credit card details.
  • Google APIs: For Gmail and Calendar access under strict Limited Use compliance (data used only for features described in Section 3).

6. Your Rights

You have the right to:

  • Access your personal data at any time
  • Revoke Gmail/Calendar access (disconnect integrations)
  • Delete your account and all associated data
  • Request a copy of your data
  • Cancel your subscription at any time

7. Data Retention

  • We retain your account data while your account is active
  • OAuth tokens are deleted when you disconnect Gmail/Calendar
  • When you delete your account, all data is permanently removed within 30 days

8. Children's Privacy

Our service is not intended for users under 18 years of age. We do not knowingly collect personal information from children.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by updating the "Last Updated" date and posting the new policy on this page.
